Privacy Policy
This policy explains how Jovren Labs handles personal data when you visit or use FreelanceOS. It also explains the choices available to account holders and other people whose information is processed in the service.
Effective 12 August 2026 · Last updated 26 August 2026 · Version 1.1
1. Who controls your data
Jovren Labs, an India-based sole proprietorship, controls account, website, billing, support, and service-operations data for FreelanceOS. A workspace owner controls the client, contact, project, proposal, contract, invoice, file, expense, and related data it uploads. For that workspace content, Jovren generally acts as a service provider or processor on the workspace owner's instructions.
2. Data we collect
- Account and profile data: name, email address, authentication records, organisation name, preferences, and workspace role. If you choose Google sign-in, Google provides your verified email address, display name, and a provider-specific account identifier. FreelanceOS does not retain Google access, identity, or refresh tokens after authentication completes.
- Business content: client and project details, proposal and contract content, signatures, invoices, payment status, notes, files, expenses, reminders, and audit or timeline records.
- Billing data: plan, subscription status, transaction references, billing country, and limited payment metadata. Payment card details are collected and handled by our payment processor, not stored by FreelanceOS.
- AI feature data: the selected business context, prompt instructions, generated output, feature type, model/provider metadata, and usage measurements needed to provide and govern an Assist request.
- Technical and security data: IP address, device and browser information, page views, approximate location inferred from network data, referral or campaign source, ad-click identifiers, request identifiers, timestamps, cookies, logs, error details, and security events.
- Communications: support enquiries, feedback, and service email delivery records.
3. How we use data
We process data to:
- create accounts and provide requested product features;
- authenticate users, maintain tenancy, prevent abuse, and protect the service;
- process subscriptions and maintain accurate billing and entitlement records;
- send verification, recovery, reminder, product, security, and support communications;
- generate user-requested AI drafts or analyses and enforce usage limits;
- diagnose faults, monitor performance, maintain backups, and improve reliability;
- measure website use, attribute signups or paid subscriptions to advertising campaigns, and understand whether marketing is effective when you permit optional measurement;
- respond to support requests and enforce our terms; and
- comply with tax, accounting, legal, fraud-prevention, and regulatory obligations.
4. Legal grounds
Depending on your location, we rely on performance of a contract, legitimate interests in operating and securing the service, consent where requested, and compliance with legal obligations. Workspace owners are responsible for choosing an appropriate legal basis before adding another person's data to FreelanceOS.
5. Service providers and disclosures
We disclose only the data reasonably needed to providers that help us run FreelanceOS, such as cloud hosting, managed databases, private object storage, transactional email, authentication (including Google when you choose Google sign-in), payment processing, AI model routing, monitoring, security, website analytics, advertising measurement, and professional advisers. Google Analytics and Google Ads receive measurement data only in accordance with the consent choices and configuration described below. These providers process data under their own terms and contractual safeguards.
We may also disclose information when required by law, to protect users or the service, in connection with a business reorganisation, or when you direct us to do so. We do not sell personal data or use workspace business content for third-party advertising.
6. International processing
Jovren is based in India, and some infrastructure or service providers may process data in other countries. Where required, we use contractual or other recognised safeguards for international transfers. By adding client data, a workspace owner must ensure its own cross-border transfer obligations are met.
7. Retention and deletion
We retain account and workspace data while the account is active and for a reasonable period afterward to support reactivation, export, dispute handling, security, backup, and legal obligations. Billing, audit, fraud-prevention, and tax records may be retained longer where law or legitimate compliance needs require it. Backup copies expire through the applicable backup cycle rather than being removed immediately.
You may request account deletion. We will remove or de-identify eligible data after verifying the request, subject to workspace-owner instructions, other users' rights, unresolved transactions, and legal retention requirements.
8. Security
We use administrative, technical, and organisational safeguards designed to protect data, including access controls, encrypted network transport, private object storage, scoped application access, signed provider events, logging, and backups. No online service can guarantee absolute security. Please use a strong unique password and report suspected compromise promptly.
10. Your choices and rights
Depending on applicable law, you may ask to access, correct, export, delete, restrict, or object to certain processing of your personal data, or withdraw consent. Workspace members should first contact their workspace owner for data controlled by that business. We may need to verify identity and may decline or limit a request where the law permits.
11. Children
FreelanceOS is a business service and is not directed to children. You must not create an account or submit a child's personal data unless you have the lawful authority and all required consent to do so.
12. Changes and contact
We may update this policy as the service or law changes. We will post the revised date and provide reasonable notice of material changes. Privacy questions and requests can be sent to support@freelanceos.app. Our Terms and Conditionsalso apply to use of the service.
