Start with the workflow, not the invoice design
An invoice is one event in a longer client relationship. Before comparing templates, map how an accepted proposal becomes a project, when an invoice is created, how the client receives it, and where payment evidence is recorded.
A polished PDF is useful, but a reliable system should also keep the invoice connected to the client, currency, due date, reminders, portal activity, and payment reference. That connection prevents contradictory records later.

- Invoice status changes are factual and visible in a chronological timeline
- The client can view the invoice without receiving an internal workspace account
Treat currency and payment state as accounting data
If you work internationally, every total must retain its currency. A USD 1,000 invoice and an INR 1,000 invoice cannot be added and displayed as one amount unless an explicit exchange-rate source and conversion date are shown.
Look for minor-unit arithmetic, partial-payment support, duplicate-payment protection, and a distinction between a provider attempt and a settled payment. Manual payments should require confirmation and a reference rather than a casual status toggle.

- Repeated webhooks or double-clicks cannot create duplicate financial writes
Evaluate reminders, evidence, and exports together
Reminder automation is useful only when it checks the live invoice balance before sending. A sequence needs clear timing, a visible next run, and a safe way to stop once payment is recorded.
Exports matter long before year-end. Test whether an accountant can identify the invoice, currency, tax, expense evidence, payment date, and reference without opening several unrelated apps.
- A usable reminder sequence exists before the first invoice is sent
- Paid or cancelled invoices cannot continue receiving payment reminders
- PDFs and exports contain stable identifiers and match the on-screen record
