Define the client record you actually need
Contact details are the beginning, not the whole CRM. A useful client record connects people and billing details to projects, commercial documents, portal events, delivery proof, invoices, payments, and notes.
Keep internal notes separate from material a client can see. Record decisions and facts, but avoid collecting unrelated personal information simply because the software provides another field.
- Primary, billing, and decision-making contacts are easy to distinguish
- Every project and document belongs to the correct client and workspace
- Internal notes have a clear audience and a useful retention purpose
Use lifecycle states that reflect real decisions
A long pipeline with vague stages becomes administrative theatre. Use a small set of states tied to observable events: enquiry received, proposal sent, accepted or declined, contract signed, active delivery, completed, and archived.
The timeline should answer what happened and when. Corrections are easier to trust when the original event and the later correction are both understandable.
- States have an owner and a real event that moves work forward
- Expired, declined, cancelled, and archived records remain distinguishable
- Important portal activity appears without requiring a manual page refresh
Keep the CRM close to delivery and payment
For freelancers, relationship management continues after the sale. A CRM earns its place when it reduces handoff mistakes, missed due dates, unclear approvals, and awkward payment follow-up.
Review each client from one screen at least monthly. Check open proposals, active work, upcoming due dates, outstanding invoices, reminders, and unresolved notes.

- Archive actions preserve the record without showing it as current work
