Put commercial context beside delivery work
A task board can show what is in progress while still losing why the work exists. Your project record should point back to the accepted scope, contract, price, currency, client owner, and dependencies.
When scope changes, create a visible commercial decision before silently expanding the task list. This protects the schedule and gives the eventual invoice an understandable basis.
- The current scope and latest approved change are easy to locate
- Milestones have owners, target dates, and acceptance conditions
- Additional work is approved before it becomes assumed delivery
Make dates durable and dependency-aware
A due date must survive time zones, form submission, API validation, database storage, page refresh, and downstream automation. Test this explicitly rather than treating the date picker as proof that the value was saved.
Separate a target date from a promise when timing depends on client access or feedback. Record the dependency and the date it was satisfied so schedule changes remain factual.
- Dates display consistently after reload and across supported time zones
- Blocked work records the dependency and responsible party
- Late client feedback does not silently rewrite the original schedule
Finish with evidence and a clean handover
Completion should produce more than a checked box. Preserve what was delivered, where it lives, which version applies, when the client reviewed it, and how acceptance was recorded.
A handover closes access, ownership, documentation, support, and final billing together. Keeping those events chronological makes later questions much faster to answer.
- Delivery proof identifies the version, location, and timestamp
- Client acceptance and requested changes are preserved chronologically
- Final invoice, payment, access transfer, and support boundary are connected
Decision check
Ask these questions before you commit
- 01Can I trace each major deliverable to accepted scope?
- 02Does the system preserve due dates and dependencies reliably?
- 03Can I prove delivery without exposing secrets or unrelated client data?
- 04Does completion trigger a clear handover and final-payment process?
