Preserve decisions and verifiable delivery events
Start with the accepted scope and approved changes. For each milestone, record the delivered item or permanent location, version, timestamp, sender, review request, and response.
Use stable identifiers across proposals, contracts, projects, evidence, and invoices. This makes the chain understandable without copying every document into every other document.

Exclude secrets and unrelated personal material
Evidence should be proportionate to the commercial question it may need to answer. Do not capture complete card details, passwords, API keys, private conversations, unrelated browser content, or personal information without a defined purpose.
Apply private storage, tenant isolation, least-privilege access, encryption, backup, and retention rules. Test that a user from one workspace cannot retrieve another workspace’s evidence.

Make the evidence useful to a client and accountant
A timeline should show the source, timestamp, actor, and meaning of each event. Sort consistently and keep corrections additive so the sequence is not silently rewritten.
Before archiving a project, generate a concise handover and financial pack. Confirm that invoice totals, payment references, evidence files, and exports agree with the live records.
